Summer in Calgary means longer days, warmer weather, and for many business owners, a shift in operations — whether you're ramping up for peak season or slowing down while clients vacation. Either way, your bookkeeping needs attention. Here is your summer checklist.
1. Close Out Q2 Properly
By early June, your Q1 and Q2 books should be fully reconciled and current. If you file GST quarterly, your Q2 return (April through June) will be due by July 31. Having clean books makes filing straightforward and ensures you capture all Input Tax Credits.
2. Conduct a Mid-Year Financial Review
With six months of data, you have enough information to assess your annual trajectory. Compare year-to-date revenue and expenses to your budget. Are you on track? Are any expense categories growing faster than expected? This is your opportunity to adjust course before year-end.
3. Review Accounts Receivable
Summer is notorious for delayed payments as clients go on vacation. Review your aging report, follow up on overdue invoices before your contacts disappear for August, and consider tightening payment terms if late payments are a recurring problem.
4. Manage Seasonal Staffing
If you've hired summer staff, ensure payroll is set up correctly with proper source deductions. If staff are leaving, process their final pay including any vacation pay owing and issue ROEs within five calendar days.
5. Back Up Your Records
Before anyone on your team goes on vacation, ensure all financial records are backed up and accessible. If you use cloud accounting software, verify your subscription is current. If you store any records locally, create a fresh backup.
6. Plan for Fall
September arrives fast. If you're planning any major purchases, hires, or changes for fall, start the financial planning now. Create a Q3/Q4 budget and identify any financing needs early.
7. Don't Let Books Slide
The biggest summer bookkeeping risk is simply falling behind. Vacation schedules, outdoor activities, and reduced urgency can push bookkeeping to the bottom of the list. Commit to maintaining your monthly routine.
