Welcome to Castle! These terms of service outline the rules and regulations for the use of our bookkeeping services.
By accessing this website and using our services, you accept these terms and conditions in full. Do not continue to use Castle services if you do not accept all of the terms and conditions stated on this page.

1. Services Provided
Castle offers professional bookkeeping services including transaction categorization, reconciliations, financial reporting, GST/HST filing, and other related services as agreed upon with the client.

2. Billing and Payments
All services provided by Castle  are billed on a recurring basis unless otherwise
agreed upon. Payments are due upon receipt of invoice. We accept payment via credit card, debit card, and electronic funds transfer.

3. Cancellation and Refund Policy
Clients may cancel services at any time by providing 30 days’ notice in writing or via email. Refunds for prepaid services will be prorated based on the remaining unused portion of the services.

4. Privacy Policy
Our privacy policy outlines how we collect, use, and protect your personal information. We do not sell or share your information with third parties without your consent, except as required by law.

5. Liability
Castle will perform all services with reasonable care and skill. However, we do not accept liability for losses resulting from acts of nature, third-party errors, or misuse of financial information or reports by the client.

6. Amendments
Castle reserves the right to amend these terms of service at any time. Amendments will be effective immediately upon posting on this website.

What’s Actually a Business Expense (and What Isn’t)

Most business owners don’t get tripped up because they’re trying to cheat the system. They get tripped up because the line between personal and business spending slowly disappears.

CRA isn’t asking for perfection. They’re asking for logic.

If you spent money to make money, and it makes sense for your business, you’re usually fine. If you’re stretching the story a bit, that’s where things fall apart.

The Stuff That’s Usually Fine

These are the expenses we see every week that rarely cause problems:
software, bookkeeping, accounting, and bank fees
advertising, websites, printing, and promo costs
professional help like legal or consulting
insurance, permits, and licensing
meals tied to actual business conversations
vehicle costs, claimed based on business use

Nothing fancy here. Just normal costs of doing business.

The Grey Zone (Where People Get Burned)

This is where most “I didn’t know” conversations start:
clothes that could just as easily be worn off the clock
phones and internet claimed at 100 percent
meals that are really just lunch
personal purchases run through the business account

These aren’t automatic no’s, but they’re not automatic yes’s either.

Big Purchases Aren’t the Same Thing

Buying a laptop isn’t the same as buying coffee. Some purchases get written off slowly over time. That’s not a punishment — it’s just how CRA spreads out bigger costs. If you’re not sure which bucket something goes in, that’s normal.

Receipts Beat Memory Every Time

If you ever had to explain an expense out loud and you’d feel awkward doing it, that’s usually a sign. CRA doesn’t care how nice your spreadsheet is. They care that the receipt exists and makes sense.

How We Look at It at Castle

Our job isn’t to squeeze every last dollar out of your return. It’s to keep your books clean enough that you can sleep at night, make decisions confidently, and never panic if CRA asks a question.
