Payroll Software — How to Choose Between Wagepoint, QuickBooks, and Others

October 12, 2025

Why Software Matters

Payroll is about precision.
If CPP, EI, or tax are off by even a few dollars, it creates year-end cleanup work and CRA headaches later.

Good software doesn’t just pay employees — it automates the compliance, generates reports, and keeps you onside with the CRA without constant double-checking.
The goal is simple: one button, clean results, no surprises.

Wagepoint — The Small Business Favourite

Wagepoint has become one of the most trusted Canadian payroll tools, especially for small teams.
It’s cloud-based, built specifically for Canadian compliance, and designed to be straightforward.

Pros:

  • Simple, clean setup (ideal for 1–20 employees).
  • Handles CRA remittances automatically.
  • Automatically generates T4s and Records of Employment (ROEs).
  • Excellent support team and personal onboarding.
  • Integrates smoothly with QuickBooks and Xero.

Cons:

  • Limited HR or timesheet features compared to larger platforms.
  • Slightly less flexible for mid-sized companies with multiple pay groups or custom benefits.

Best for:
Small Canadian businesses that want reliability and compliance without complexity.

QuickBooks Online Payroll — Integrated Simplicity

If your bookkeeping already lives in QuickBooks, using QuickBooks Payroll can make sense.
It keeps everything — wages, taxes, and expense tracking — in one ecosystem.

Pros:

  • Tight integration with your accounting and chart of accounts.
  • Easy journal entries — no need for manual imports.
  • Instant updates to books after each pay run.

Cons:

  • Support can be slower and less specialized than Wagepoint’s.
  • Interface isn’t as intuitive for non-accountants.
  • Fewer options for mid-run adjustments or off-cycle payments.

Best for:
Businesses that already live inside QuickBooks and value integration over customization.

Other Options — For Specific Needs

A few other tools are worth mentioning:

  • Ceridian Powerpay — Reliable, used by larger employers; more complex but very compliant.
  • ADP Canada — Scalable for corporations with 50+ employees; full HR suite but overkill for most small businesses.
  • Payworks — A strong Canadian system with great reporting and support; good middle ground between simplicity and structure.
  • Wave Payroll — Budget-friendly for sole proprietors; limited functionality but fine for basic needs.

Each of these can work, but they’re rarely the best fit for a small business that wants fast, accurate, and personal payroll.

Choosing the Right Fit

When picking software, focus on these four questions:

  1. How many employees do you have?
A small team benefits from simplicity. Big systems slow you down.
  2. Who’s handling payroll?
If it’s you or your bookkeeper, you need a platform that’s clear, quick, and easy to fix if something goes wrong.
  3. Do you want CRA remittances automated?
Not all software does this automatically — and that’s the number one time-saver.
  4. Does it integrate with your bookkeeping?
Your accounting system and payroll should talk to each other. Otherwise, you’re entering the same data twice.

The Castle Bookkeeping View

We’ve tested almost every payroll system available in Canada — and for most small employers, Wagepoint strikes the right balance.
It’s accurate, transparent, and built for the real world — not for corporate HR departments.

It’s also Canadian-owned, which means its rules, deductions, and support are always aligned with the CRA and provincial standards.

The Takeaway

The best payroll software is the one that you actually use consistently.
Automation doesn’t just save time — it prevents errors, keeps your records clean, and lets you focus on running your business instead of reconciling it.
